EsVata LLC builds and operates the software our dealers use to quote, order, and manage window-covering work. This page describes what that software stores, who it shares information with, and what you can ask us to do about it.

Who this covers

This policy covers the EsVata dealer portal, the EsVata mobile apps, and the customer-facing pages our dealers send to their own clients — quotes, invoices, install sheets, and payment links.

Our dealers are independent businesses. When a dealer stores their customer’s name and address in our software, that dealer decides what to collect and why; we hold it on their behalf and act on their instructions.

What we store

Account information for dealers and their staff: name, business name, email address, phone number, business address, and the login credentials for the portal.

Business records the dealer creates: quotes, orders, purchase orders, measurements, photographs of work sites, notes, invoices, and payment records.

Contact and job details for the dealer’s own customers, entered by the dealer: name, address, phone number, email address, and the details of the work being done.

Ordinary technical records: which pages were viewed and when, which emails were opened, and error diagnostics. We use these to run the service and to show dealers how their own customers are engaging with the documents they send.

What the mobile apps collect

The EsVata Dealer and EsVata Sales apps ask for a few device permissions. Each one is requested at the moment the feature is used, each can be declined, and declining only disables that feature — the rest of the app keeps working.

Camera and photos: to scan product QR codes, photograph windows and measure sheets, and attach job-site photos to a project. Photos you attach are uploaded to your dealer account; photos you take and discard are not.

Microphone: to record voice measurements and to run the Measure Buddy assistant. The recording is uploaded and passed to an AI transcription provider to pull out the numbers, then kept with the measurement so you can replay what was said. It is not used to train anyone’s model.

Location, while the app is in use: to tag a measurement or job-site photo with where it was taken, to give driving directions to an appointment, and — in the Sales app — to show which dealers are near you. We never collect location in the background.

Bluetooth: to pair with a laser measuring device and read the distance it reports. Nothing personal moves over that connection.

Push notification tokens and a device identifier, so we can send you order and schedule notifications. These identify a device, not a person, and are deleted when you sign out.

The apps show only your own company’s data, and we do not use anything collected through them for advertising or sell it to anyone.

Deleting your account

EsVata accounts are issued by us or by a dealer’s own administrator — the apps have no public sign-up. To have one deleted, open Settings → Account in the Dealer app, follow the instructions at portal.esvata.com/account-deletion, or email admin@esvata.com from the address on the account. We act on the request within 30 days and confirm when it is done.

Deleting an account removes your login, your profile, your device tokens, and the photos, recordings, and notes attached to your work. Records we are required to keep — paid invoices and other accounting records, and order history a manufacturer warranty depends on — are retained for the periods described above and are not used for anything else.

If you are a customer of one of our dealers rather than a dealer yourself, the records belong to that dealer; contact them, or email us and we will pass the request along.

Children

This is business software for window-covering professionals. It is not directed at children, we do not knowingly collect information from anyone under 13, and if we learn we have, we delete it.

Connecting QuickBooks

A dealer may connect their own QuickBooks Online company to the portal. When they do, we store the access credentials Intuit issues us. Those credentials are encrypted before they are written to our database, and they are never displayed, exported, or logged.

With that connection we read the dealer’s chart of accounts so they can choose where transactions land, and we create and update bills, invoices, customers, items, and payment records inside their QuickBooks company. We read back the status of documents we created so the dealer can see what has been paid.

We do not read anything in their QuickBooks company beyond what is needed for that, we do not use their accounting data to build any product, and we never share it with another dealer or sell it.

A dealer can disconnect at any time — from the portal, or from within QuickBooks itself. Disconnecting revokes our credentials immediately. Documents we already created stay in their QuickBooks company, because those are their books, not ours.

Who else sees it

We use a small number of service providers to run the software, and they see only what their job requires: Intuit for QuickBooks, Stripe and PayPal for card payments, Google for maps and file storage, email and SMS providers for notifications, and AI providers for the optional features that read a photo or a voice note to extract measurements.

We do not sell personal information, and we do not share it for advertising.

We disclose information when the law requires it, and we may transfer it as part of a merger or sale of the business — in which case this policy continues to apply until it is replaced by one you are told about.

How long we keep it

Business records are kept for as long as the dealer’s account is active, and afterwards for as long as we need them for tax, warranty, and legal reasons. Window coverings carry long warranties, so order records outlive the order by years.

A dealer can ask us to delete their account. We will do so, except where a record has to be kept — a paid invoice, for example, is an accounting record we are required to retain.

Security

Access to the portal requires a login, and dealer staff see only their own company’s data. Connections to the software are encrypted in transit. Credentials for connected services, including QuickBooks, are encrypted at rest.

No system is perfect. If we discover a breach affecting your information, we will tell you.

Your choices

You can ask us what we hold about you, ask us to correct it, or ask us to delete it, by emailing admin@esvata.com. If you are a customer of one of our dealers, contact that dealer first — the records are theirs, and they can act faster than we can.

Marketing emails carry an unsubscribe link. Transactional messages about an order you placed are not marketing and do not stop.

Changes

If this policy changes in a way that matters, we will update the date at the top and tell dealers through the portal.
